STALLHOLDER TERMS AND CONDITIONS

Thank you for considering joining us at the Alexandra Easter Fair or Alexandra Spring Fair!

Here's everything you need to know to make your participation smooth and enjoyable:

Setting Up and Packing Up:

As the event date nears, we'll provide you with specific guidelines for setting up and packing up at the market.

Attendance and Weather:

Our Spring Fair and Easter Fair markets are all-weather events, meaning they'll run rain or shine. By joining the market, you commit to attending regardless of the weather forecast. Protect your products and bring necessary equipment (like gazebo sides and weights) to handle various conditions.

Should severe weather compromise the safety of stallholders or the general public, we reserve the right to cancel the market.

Fees:

Stall fees are due seven (7) days before the market. Non-payment will result in the stall being reassigned.

Weather Refunds:

No refunds due to bad weather. If you choose not to attend for any reason, the market site fee is still applicable.

Market Cancellations:

If we find it necessary to cancel the market, your fee will be credited toward the next event. Please note that other fees are non-refundable.

Trading Hours and Departures:

Trading hours are from 10:00 AM to 3:00 PM. To ensure everyone's safety, we require that arrivals and departures occur outside these hours. If an early departure is necessary, kindly request prior approval. If approved, remember that equipment must be walked out, not driven.

Vehicle Safety:

Unload vehicles first, then park them in designated areas before setting up stalls. Drive at 5kph and use lights if it's dark.

Parking:

Please follow our staff's directions for parking. Avoid parking in areas designated for customers.

End of Trade and Rubbish:

Once the event concludes, it's every stallholder's responsibility to leave their site clean and free of rubbish. Event bins are only for lightweight rubbish/recycling. Vehicle entry to the market grounds is allowed upon management approval that the venue is clear of pedestrians.

Please refrain from depositing solid or liquid waste on the ground or in drains.

Liquor Licensing:
Stallholders interested in wine tasting must obtain a Limited Liquor License from Victorian Liquor Licensing.

The license copy must be shared with the Market Manager at least five (5) working days before the event.

Sale of Food and Permits:
It is the stallholder's responsibility to adhere to any Council and health regulations for food sales.

All stallholders who wish to sell food products must be registered via Streatrader. A copy of their Streatrader Registration to the Market Manager five (5) working days prior to the Market.

Product Labeling:
Stallholders are responsible for adhering to relevant legislative labeling guidelines for packaged goods and produce.

Equipment:
Stallholders are responsible for supplying their own equipment and ensuring that they have everything required to operate - marquees/s, weights/sandbags, table/s, chairs etc

Marquees must be of a high standard and to Australian Engineering recommendations.  These must be able to withstand high wind levels.   Lightweight gazebos from Bunnings / Aldi are not recommended.  Gazebos that are not deemed suitable will be required to be taken down.

Irrespective of weather conditions, marquees must be weighted down with heavy sandbags or with appropriate and secure weights at all times.  ALL vendors are required to have a minimum of 20kg per leg.

Site Presentation and Signage:
Stallholders are responsible for keeping their site tidy, safe, and well-presented at all times. Any signage must be clean, non-offensive, and not block pedestrian flow.

Security:
Security of a stallholder's stock, produce, equipment, cash and personal effects is the responsibility of the stallholder.

Stallholder Conduct:
Professional behaviour is expected from all stallholders. Offensive comments, unwarranted gossip, and inappropriate behaviour will not be tolerated by Market Management.

Public Liability/Insurance:
Stallholders must have Public Liability, Personal Indemnity, and Product Liability insurance as required by law.

A current certificate of currency with a minimum value of $10,000,000 must be submitted five (5) days before any market event.

Electricity and Electrical Safety:
Requests for electricity usage are subject to approval and availability.

All power leads and electrical appliances must comply with Occupational Health & Safety (OHS) guidelines and be tagged and tested.

Personal Data:
Please ensure we have up-to-date contact details on file, including mobile, landline, and email.

Smoking:
In accordance with government health regulations, smoking is prohibited in stalls and the market area.  If you are a smoker, please do so in the designated areas.

Dogs:
Our markets are pet-friendly. Keep dogs within your stall area.

Market Sites:
Stallholders do not have ownership or transfer rights to their sites. Market Management reserves the right to alter or re-allocate sites as needed.

Exclusivity:
No stallholder is guaranteed exclusivity for their product.

Promotional Material:
Market Management retains the right to use stallholder images and photos for promotional purposes.

General Rules and Conditions:
Market Management holds the right to refuse entry or sales. We are not liable for loss or damage to vehicles, belongings, or individuals.
